Access control

The decision at the gate takes one second

Access control has to be simple enough to run on a security officer's phone. Scan the gate QR and the app connects to that gate; scan a card and the answer appears on screen.

At the gate

One scan, checks in order

  • Is the card recognised? If the QR or accreditation number does not match a record, no entry is granted — which is also why an old card stops working after a reissue.
  • Is there security approval? If the record's security status is not approved the gate stays closed; when someone arrives on an upgrade card, that upgrade must be approved too.
  • Is it within the date range?Entries outside the event's start–end range are refused, calculated in the event's own time zone.
  • Is the gate's zone requirement met?Every gate looks for a zone parameter; if the person's parameters — including anything an upgrade card adds — do not meet it, entry is refused.

In the field

No heavy hardware required

  • A security officer opens the panel with their own card QR
  • Scanning the gate QR connects the app to that gate
  • A phone camera is enough; no dedicated terminal needed
  • A plain interface that survives a weak connection
  • No entry through an inactive gate or venue
  • A gate with no zone requirement stays closed even to approved cards

Logs and incidents

What happens at the gate stays on record

Granted or refused, every scan is written to the access log with its gate, result, person and time. The officer on the gate sees only the recent activity of their own gate; the venue-wide view is behind a staff permission.

  • Access logEvery scan is stored with the reason for refusal: card not found, not approved, outside the date range, zone requirement not met.
  • Incident and security logLost cards, stolen cards, unauthorised entry attempts and temporary restrictions are typed, with severity, status and the action taken.
  • Linked to person and gateAn incident links directly to the accreditation record, the venue and the gate: which card, which gate, what time.
