Accreditation platform for international championships

The whole accreditation process, in one system

From the first application to the card being scanned at the gate, every step lives in the same database. Delegation lists, quota rules, security approval, zone rights, card printing and gate control — built by people who have run all of it on site.

  • Unlimited cards and users
  • Hosted in the EU, GDPR-compliant
  • 30-day free trial

The field experience behind it

Nine international events, more than 100,000 cards

These championships were delivered with the tools available at the time — not with this software. What was missing there became the design brief for this platform.

  • European Youth Olympic Winter Festival, Erzurum 2017
  • 23rd Summer Deaflympic Games, Samsun 2017
  • Konya 2021 Islamic Solidarity Games
  • European Fencing Championships, Antalya 2022
  • European Athletics Indoor Championships, İstanbul 2023
  • LEN European U17 Water Polo Championships 2023
  • World Athletics Race Walking Team Championships, Antalya 2024
  • Antalya 2024 SPAR European Cross Country Championships

Event marks belong to their respective governing bodies and are shown to document professional experience.

Platform

Eight links in the accreditation chain

Every module works on the same person record, not next to it. Change one zone right and both the printed card and the check at the gate read it from the same source.

Registration

Media and volunteer application portals, external lists by email invitation, Excel bulk upload and event-specific dynamic fields.

Explore

Delegations & quotas

Country and club delegations, participant types, fixed/ratio/tiered quota rules, and long list – short list stages for the events that need them.

Explore

Approvals

Without security approval a card does not pass the gate. Bulk approval, bulk editing and an audit trail on every action.

Explore

Access matrix

Unit × zone rights, per-person exceptions, venue and gate definitions. Both the zone strip and the gate check feed from here.

Explore

Card design & production

A millimetre-accurate designer, double-sided and folded printing, per-person content, QR codes and batch PDF output.

Explore

Access control

Scan QR codes at the gate with a phone, decide by the gate's zone requirement, log every scan and record incidents.

Explore

Event operations

Meal requests, accommodation allocation, vehicle accreditation, volunteer management and requests between departments.

Explore

Security & data

Role-based permissions, data scopes, session management, an audit log that masks sensitive fields, and GDPR compliance.

Access rights

Who may go where is a table, not a judgement call

Zone rights are defined per unit, not person by person. Someone inherits the rights of the unit they belong to; where an exception is needed, a per-person parameter set is opened that changes neither the unit nor anyone else.

  • Unit × zone matrixAthlete, team official, press, broadcaster, VIP — which unit enters which zone is ticked on one screen.
  • Per-person matrixIf someone's rights differ from their unit, a personal parameter set is defined and used at print time instead of the unit matrix.
  • One source for card and gateThe zone strip on the card and the check at the gate read the same parameter set; the two are never kept in separate places.

Card production

What you see in the designer is what comes out of the printer

The card designer works in millimetres: you set the card size, and zooming never changes a stored value. Front and back live in the same document and print folded or as two sides.

  • Templates per card typeBackground, zone strip, sponsor area, photo and text placement are defined per card type.
  • Filled in per personZone rights, category colour and unit colour are pulled from that person's own record at print time.
  • Reissue invalidates the old cardWhen a print is confirmed the card's identity is replaced; the old card in circulation is no longer recognised at the gate.

At the gate

A card is verified in a second

Security staff do not have to learn a separate system: scanning the gate QR connects the app to that gate, and scanning a card shows the answer on screen. The decision comes from the gate's zone requirement, not from the officer.

  • Decided by the gate's requirementEvery gate is bound to a zone; if the person's parameters do not meet it, entry is refused.
  • Incomplete configuration means no entryA gate with no zone requirement, or a venue with no venue parameter, stays closed even to approved cards.
  • Every scan is loggedGranted or refused, every scan is written to the access log together with its result.

Why AccredZone

The difference is who designed it

Late delegation lists, quota arguments, police clearance cycles, lost cards during competition, changes on the eve of Opening — the system was built in the knowledge that all of it happens.

Designed by an accreditation manager

Not a general-purpose CRM dressed up for sport. Every screen comes from something that came up at a real event.

Multi-event, multi-language

Unlimited events on one installation. Each event's data stays in its own scope, and the interface runs in English and Turkish.

Separate portals, one core

The management console, the volunteer portal, the media application portal and the gate app all share the same data.

The data is yours

Personal data is hosted in the EU, never shared with third parties, and exportable in open formats at any time. No lock-in.

Competition-day support

Extended support starting three days before the event, with a 30-minute response commitment on critical issues.

Three free custom developments a year

Three custom development requests per year are included in the platform licence, for whatever your organisation needs.

Getting started

Setup does not wait on us

You never need us to open a new event: set the standard up once and copy it for every championship.

  1. 1
    Accounts are opened

Administrator access is handed over within 5 working days of the contract and DPA.

  2. 2
    The standard is defined

Categories, zones and access rules are set once — we help you with this step.

  3. 3
    The event is built

Each organising committee enters its own venues, dates, delegations and quotas.

  4. 4
    Support continues

From the preparation period through to competition days, under a written service level commitment.
