Event operations

The work does not stop when accreditation ends

The people you accredit eat, sleep in hotels, arrive by car and work as volunteers. When those operations sit in the same system, you spend the day doing the work instead of reconciling lists.

Meals

Departments enter which venue, which day and how many meals they need. The request is approved or rejected; the person collecting and the person distributing are both recorded.

  • Requests per unit and subcategory
  • Venue and date breakdown
  • Cut-off day setting
  • Receiver and distributor on record

Accommodation

Hotels, dormitories and camps are defined with room and bed capacity; which delegation from which country stays where, and on what dates, sits in one list.

  • Property type, room and bed capacity
  • Allocation per country and party
  • Check-in and check-out dates
  • Warning or block when capacity is exceeded

Vehicle accreditation

Vehicles are accredited with their own parameters and printed from their own card design. Approval, rejection with a reason, cancellation and revocation are all tracked.

  • Vehicle registration and approval
  • Vehicle parameters
  • Vehicle card design
  • Cancellation and revocation

Volunteer management

Volunteer applications arrive step by step through their own portal. On approval and assignment to a unit, the system creates that volunteer's accreditation record automatically.

  • Multi-step online application
  • Volunteering area preferences
  • Screening and unit assignment
  • Automatic accreditation on approval

Internal requests

Requests between departments run in the system instead of email, with an opening department, a target, a state and a record at closure.

  • Raising and assigning requests
  • Status tracking
  • A record when it closes

System emails

Password reset, list upload invitation and media application acknowledgement are edited from a template screen; subject, HTML and plain-text bodies can be changed per event.

  • Template editing
  • HTML and plain-text bodies
  • Event-specific wording

The shared benefit

One person record, one truth

An approved volunteer gets an accreditation by itself, the vehicle card sits in the same event, the meal request comes from the department. With operations living in separate spreadsheets you have to make those links by hand.

  • No double entryVolunteers, media applications and imported lists all merge into the same accreditation table.
  • Event scopeEvery record belongs to an event; one event's data never shows up on another event's screen.
  • Live numbers on the dashboardTotal accreditations, records awaiting approval, cards printed, volunteer applications and open security incidents.
